SWF Portal ("we", "us", "our") is an online examination and test-building platform operated by Students Welfare Foundation. This Privacy Policy explains what information we collect from students, instructors, and administrators who use our website and services (the "Service"), how we use it, and the choices you have.

By creating an account or otherwise using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following categories of information:

• Account information: full name, father's name (students), email address, phone number, subject (instructors), password (stored encrypted), and profile picture.
• Verification information: one-time passcodes (OTP) sent to your email for account verification and password resets.
• Payment information: selected plan, billing cycle, transaction ID, and payment screenshot you upload when submitting a subscription payment.
• Exam & academic data: tests created, questions, answers submitted, scores, attempt history, and results.
• Technical & security data: IP address, browser/device user-agent, login timestamps, and anti-cheat violation logs recorded during exams (e.g. tab-switching, copy/paste attempts).
• Usage data: pages visited and actions taken within the platform, used for activity logs and troubleshooting.

3. How We Use Your Information

We use the information we collect to:

• Create and manage your account, and verify your identity via OTP.
• Provide core functionality: building tests, joining exams, grading, and publishing results.
• Review and process subscription payments submitted through the platform.
• Detect and prevent cheating during exams through anti-cheat monitoring.
• Send transactional emails (OTP, payment status, result notifications, password changes).
• Maintain security, investigate suspicious activity, and enforce our Terms of Service.
• Improve and troubleshoot the Service.

4. Payments & Screenshots

SWF Portal does not process card payments directly. Instructors pay via bank transfer, JazzCash, or EasyPaisa and upload a screenshot of the transaction as proof of payment. This screenshot, along with the transaction ID and notes you provide, is reviewed manually by our administrators to approve or reject the subscription request. Screenshots are stored securely and are only accessible to authorized administrators for verification purposes.

5. Exam & Anti-Cheat Data

During an exam attempt, the Service may record events such as tab switches, window focus loss, copy/paste attempts, right-clicks, and page refresh attempts, along with a timestamp and your IP address. This information is shared with the instructor who created the test, to help them assess the integrity of the attempt. It is not used for any purpose outside of academic integrity review.

6. How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

• With instructors: a student's name, attempt data, results, and violation logs are visible to the instructor who owns the relevant test.
• With administrators: account, payment, and activity data is visible to SWF Portal administrators for support, moderation, and payment verification.
• Service providers: we use third-party services (such as our email provider) strictly to deliver the Service (e.g. sending OTP and notification emails).
• Legal requirements: if required to comply with applicable law or to protect the rights, property, or safety of SWF Portal, our users, or the public.

7. Cookies & Sessions

We use session cookies that are strictly necessary to keep you logged in and to protect your account (including CSRF protection). We do not use third-party advertising or tracking cookies.

8. Data Security

We apply industry-standard measures to protect your data, including encrypted password storage, HTTPS/TLS encryption in transit, and access controls limiting who can view sensitive data. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Data Retention

We retain account and academic data for as long as your account remains active, or as needed to provide the Service and comply with our legal obligations. You may request deletion of your account as described below.

You may:

• Access and update your profile information at any time from your account settings.
• Request a copy of the personal data we hold about you.
• Request deletion of your account and associated data, subject to any records we are legally required to retain.

SWF Portal is used by students who may be minors, typically under the supervision of an educational institution or instructor. We only collect the information necessary to provide the exam service (name, father's name, contact details) and do not knowingly use this information for any purpose beyond delivering the Service.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
